BracesWatchDog is committed to protecting your privacy and maintaining responsible data practices. This policy explains how long we retain your personal information and what happens to it after you stop using our service.

Data Retention by Category

Account Information

Data: Name, email address, account creation date

Retention Period: For the duration of your account + 12 months after account deletion

We retain account information for 12 months after deletion to comply with tax and legal requirements, then permanently delete it.

Orthodontic Quote Data

Data: Treatment type, quoted fee, zip code, orthodontist name (optional)

Retention Period: 24 months from submission

We retain this data to improve our AI analysis accuracy and regional pricing benchmarks. After 24 months, it is anonymized and aggregated for statistical purposes only.

Generated Reports

Data: Your personalized AI analysis report

Retention Period: Indefinitely (available in your account dashboard)

Your report is stored indefinitely so you can access it anytime. You can request deletion at any time by contacting [email protected].

Payment Information

Data: Transaction ID, amount, date, payment method (last 4 digits only)

Retention Period: 7 years

We retain payment records for 7 years to comply with tax law (IRS requirements). Full card details are never stored—Stripe handles all payment processing.

Usage & Analytics Data

Data: IP address, pages visited, time spent, device type, referral source

Retention Period: 12 months

We use this data to improve our service and understand user behavior. After 12 months, it is deleted or anonymized.

Support Communications

Data: Emails, chat transcripts, support tickets

Retention Period: 24 months after last contact

We retain support communications to provide continuity of service and resolve disputes. After 24 months of inactivity, they are deleted.

Cookies & Tracking Data

Data: Session cookies, authentication tokens, preference data

Retention Period: Until browser closure or 1 year (whichever comes first)

Session cookies are deleted when you close your browser. Persistent cookies expire after 1 year or when you delete them.

Data Deletion & Anonymization

Automatic Deletion:

  • Inactive accounts are not automatically deleted. You must request deletion.
  • Usage analytics are automatically deleted after 12 months.
  • Support communications are deleted 24 months after your last contact.

Manual Deletion (Your Request):

  • You can request deletion of your account and all associated data at any time.
  • Email [email protected] with subject "Data Deletion Request"
  • We will delete your data within 45 days (as required by CCPA)
  • Exception: We may retain anonymized data for statistical and research purposes

Anonymization & Aggregation

After the retention periods listed above, we may anonymize and aggregate your data for:

  • Improving our AI analysis accuracy
  • Understanding regional orthodontic pricing trends
  • Publishing anonymized research or statistics
  • Identifying market anomalies or fraud

Anonymized data cannot be linked back to you and is not subject to deletion requests.

Legal & Compliance Exceptions

We may retain your data longer than stated above if required by law, including:

  • Tax law (IRS requires 7 years of financial records)
  • Legal disputes or litigation
  • Court orders or government requests
  • Fraud investigation or prevention

Data Breach Notification

If we experience a data breach that exposes your personal information, we will:

  • Notify you within 30 days of discovery
  • Provide details about what data was exposed
  • Explain steps we're taking to secure your data
  • Offer free credit monitoring if applicable

Your Rights

You have the right to:

  • Access: Request a copy of all data we have about you
  • Delete: Request deletion of your account and data
  • Correct: Request corrections to inaccurate data
  • Opt-out: Opt out of marketing communications
